Why is Nook better than a spreadsheet?Spreadsheets struggle with high caseloads and don’t easily track all the interventions, actions and notes against each case. They’re also prone to accidental data loss. Nook keeps all client details, notes, and tasks in one place so nothing gets lost and your team always knows how to progress a case.Nook also integrates with self-referral web forms, automatically feeding new cases into a waiting list so nothing slips through the cracks. It helps reduce duplicates - a common issue with spreadsheets - through an early potential duplicate alert system and an advanced search functionality that prevents duplicates from being created in the first place. Additionally, Nook features an advanced reporting toolbox, enabling you to create and reuse reporting templates to save valuable time.How does this compare with Airtable and other CRMs?General-purpose CRMs or databases, such as Airtable, require intensive upfront customisation to work effectively for energy advice. Nook has been built specifically for community energy organisations and includes the tools you need, such as case tracking, waiting lists, notes, team collaboration, and reporting for funders, all right out of the box.Additionally, Airtable doesn’t easily track a case’s history or the timing of specific interventions, which is crucial for monitoring progress over time and providing funders with timestamped evidence if requested.What’s more, other tools charge you per user, which isn’t ideal when your team is comprised of part-time staff and volunteers. Out of the box, Nook is designed for energy advice and fuel poverty workflows, but Nook can be fully customised to different processes with our support. We’ll answer your questions promptly and focus on the aspects of the functionality that are most relevant to you.What is Nook built on?Nook is built on top of CiviCRM, a widely used open-source CRM platform designed for non-profits, advocacy groups, public sector organisations, and community organisations. Think of Nook as an extension that sits on top of the core CiviCRM, adding community-energy-specific functionality, a more usable interface, and hiding the CiviCRM functionality that groups don’t need.What does open source mean?Open source means that NookCRM’s underlying code (but not case or other private data) is freely available for other developers to use, modify and improve. This ensures transparency, flexibility, and long-term sustainability. If you already work with a developer, they can make improvements to Nook’s code and features for you (and the wider community) to use.What is CiviCRM and why is it useful that Nook is built using that?CiviCRM is a trusted, community-driven CRM used by thousands of non-profits worldwide and supported by scores of volunteer developers and paid contributors . Because Nook builds on CiviCRM, you benefit from its stability and security, while also gaining features designed specifically for energy advice and case management. It’s the best of both worlds: tailored functionality, built on a proven and well-supported foundation.We already use CiviCRM, can we just add Nook to it?Sort of. A better way would be to migrate your data to a new Nook installation, and then our developers can expose any core Civi functionality or other types of data that you might still wish to use.Can I host Nook myself?Yes. You can host Nook on your own server or with a preferred provider. And whether you host Nook yourself or ask an organisation like Outlandish to host it for you, each installation of Nook is standalone, and your case data is not open or shared.This is essentially the difference between a Software as a Service (SaaS) solution, such as a web tool that multiple organisations might log into and use, and open-source software, which is set up and run as standalone versions based on the same underlying codebase.Does Nook integrate with other software?CiviCRM, the technology powering Nook, is known for its robust API support and its ability to call external services and send/retrieve data to other systems. Privacy Policy

Outlandish will set up a separate, standalone installation of the Nook CRM for each pilot organisation. There is no shared platform, and no pooling of client/user data.The pilot organisation is the Data Controller for the data they gather and submit into their installation of Nook. E.g. their client data, their own team's user data etc.As Data Controller, each pilot organisation determines the purposes for which and the means by which personal data is processed.So in other words, each participating pilot organisation decides ‘why’ and ‘how’ the personal data should be processed, and what they will use it for.Outlandish would be the Data Processor. We are processing personal data only on behalf of each controller (e.g. storing the data on a server).As Data Processor we don't and won't be using the data in any way outside of the Data Processor role. For example, we won't be using the data for Outlandish marketing. Nor will it be shared with third parties.Outlandish will delete the data at the end of the pilot if an organisation doesn't wish to continue using Nook. Organisations will be able to export client data from the CRM at any time too, and are encouraged to export data before any deletion (which will be permanent).
